VenueOS

SaaS for Event Venues: Bookings, Staffing, and Vendors in One Place

VenueOS

Overview

VenueOS is a vertical SaaS platform for event venues: wedding halls, conference centers, banquet spaces, and multi-room event complexes. It handles inquiries, bookings, vendor coordination, staff scheduling, and payment milestones in one system, with a branded client portal for every event.

What makes VenueOS different is how it presents the venue. Instead of dashboards and calendars, the core interface is a living floor plan. Every room, hall, and outdoor space is visible on one screen, colour-coded by status. Bookings, vendors, staff, and payments all live on the same map.

It is designed for venue owners and operators who currently run on spreadsheets, WhatsApp groups, and disconnected booking tools, and need one system that mirrors how a venue actually operates.

The Challenge

Running a venue means coordinating dozens of moving parts at once.

- Inquiries arrive by phone, email, Instagram, and walk-ins, and get lost
- Bookings live in spreadsheets that nobody updates consistently
- Vendors are coordinated over WhatsApp with no shared timeline
- Staff scheduling is done on paper and changes constantly
- Payment milestones are tracked manually, so deposits get missed
- Clients call constantly for updates because they have no visibility

The result is chaos disguised as busyness. Double bookings, missed payments, understaffed events, and stressed owners.

Our Solution

VenueOS turns the venue into a single, live, visual system.

1- Living Floor Plan. The home screen is a 2.5D view of the venue. Every room shows its current state: booked, pending, available, or live
2- Drag-and-Drop Booking. New inquiries are dropped onto dates on the plan. Availability and pricing are checked instantly
3- Vendor Coordination. Vendors appear on the floor plan during their event window, with arrival times and confirmations
4- Staff Scheduling Heatmap. Rooms that are understaffed glow red, overstaffed glow blue. Staff are moved between rooms visually
5- Payment Progress Rings. Every booking has a ring that fills as payments come in. Deposits, milestones, and final payments in one glance
6- Branded Client Portal. Clients see a simplified version of the same floor plan, with their event, timeline, and payments

Venue owners stop managing tools and start seeing their business.
